Organizations can use the magic links feature to make onboarding users into Teamworks AMS easier. Magic links allow people to bypass the mobile app login process by scanning a personalized QR code with their mobile device. QR codes are valid for 30 minutes by default, after which they expire. This expiry period can be discussed with your Product Success Manager.
Make sure the correct user scans the correct QR code.
Once the code is scanned, the user then needs to set a password to sign into the app. If the user has already been onboarded and they scan the QR code again, they will be prompted to reset their password.

Mobile App
To access the User onboarding tool on AMS with a web browser, the following requirements must be satisfied:
- The user accessing the module must be a coach of the relevant group(s). They cannot be an athlete in the group, even if they're also listed as a coach.
- The user must have the User onboarding system permission enabled in their role.
- The User onboarding interface must be enabled in the site’s Application details. This can only be performed by a site owner or SuperAdmin with builder access.
- If a custom page layout is enabled for the coach user, the layout must include the User onboarding tool.
The User onboarding tool shows a card for each athlete user in the currently loaded group. There are two ways that this tool can be used for onboarding:
- Coaches can show the athlete their unique QR code through AMS on the web, and athletes can scan the QR code on the computer screen.
- Coaches can print all QR codes for the currently loaded group, and athletes can scan the QR code from the printed copy.
Remember that QR codes are only valid for 30 minutes after being generated in the onboarding tool, which may limit the usability of the printed copy. To extend the expiry period, please speak to your Product Success Manager.
Steps to access onboarding QR codes through AMS on the web
- Log into AMS using a web browser.
- Check that the group containing the user(s) to be onboarded is currently loaded.
- Open the User onboarding tool.
- Search for and select the user to be onboarded.
- Instruct the user to scan their personal QR code with their mobile device. This leads to an onboarding web page.
- If the user has not already downloaded the AMS app to their mobile device, use the link on the onboarding screen to be directed to the appropriate app store (i.e. App Store or Google Play) to download the app.
- After downloading the app, the user must return to the onboarding web page.
- Instruct the user to select the Get Started button on the onboarding web page. This will open the AMS app and input the site details.
- The user will be prompted to secure their account with either a PIN or FaceID. This will make logging in easier in the future.
- The user will be prompted to enter a password for their account. Note that if they selected FaceID or a PIN in the previous step, a password must still be set but the biometric login will be used whenever they need to log into the mobile app.
- After completing the onboarding steps, the user will be logged into the app.

Steps to print onboarding QR codes from AMS on the web
- Log into AMS using a web browser.
- Check that the group to be onboarded is currently loaded.
- Open the User onboarding tool.
- Select Print results.
- Wait for the QR codes to be loaded for each user in the group.
- When the page has loaded, select Confirm print.
- Use your internet browser’s print settings to print the QR codes or save as a PDF.
To set up magic links in the AMS mobile app, the user must have the User onboarding system permission enabled in their role. You do not need to enable the User onboarding interface in your site’s Application details to use this feature.
A user with coach permissions can generate a magic link for a user in the form of a QR code from the user’s profile. Profiles are accessible through the athlete selection screen during data entry. To generate a magic link for an athlete, follow the steps below.
- Ensure that the current group contains the user to be onboarded; otherwise, switch to a group that they are part of.
- Select Add data in the bottom navigation bar. The users in the current group will be listed.
- In list view, swipe across to the far right column and select View profile for the user. In grid view, select the i icon on the player card.
- Select Onboard at the bottom of the screen.
- A unique QR code will be shown for the selected user.
- Instruct the user to scan the QR code with their mobile device. This will log them into their account on the AMS mobile app. If the app is not downloaded on their device, scanning the QR code will open a webpage in their default internet browser with a link to the appropriate app store (App Store or Google Play Store) where they can download the app to their device.
