The Categories tool is used to create the categories within which a site’s resources are organized. Each category has a single data permission associated with it. Providing an account with access to a category will allow them to:
- View content allocated to the category in Resources (in conjunction with the Resources system permission).
- Upload content to this category (in conjunction with the Resource Upload system permission).
Separating content by category ensures that only accounts with a role that has access to a category can view the resources within a category.
To edit a category, search for and select the category from the list. Alternatively, hover over the category to reveal more options and select Edit or Delete.
When a category is deleted, any resources that were saved to that category will no longer be categorized so it will no longer be available to users in the Resources tool.
Categories created by an administrator have no functional relationship with form categories.
Enterprise configurations
If your AMS site exists on an enterprise server and the appropriate sharing configurations exist, categories can be linked to other sites.
Use the Link to function to link categories created on the site to another site on the same server. To use this function, the following criteria must be met:
- The server must be configured as an enterprise instance.
- The sharing of categories from the current site to another site must be enabled in the Shared sites administration tool.
Categories linked from one site to another can only be edited on the site where it was created. If accessed from the linked site, none of the management functions will be visible.
Steps to create a new category
- From the administration interface, select Categories.
- Select + New.
- Enter a Name for the category.
- Specify the category Type.
In most cases, you should set the category Type to Resources. If the category type is set to External Videos, access to this category allows a user to view externally-hosted video content. - Click Create to save the category.
