Performance History

Available only on the web.

The Performance history (sometimes also called the athlete history or user history) shows you the entire chronological record of data entered into Teamworks AMS for a person, according to the data permissions included in your role.

The history can include future records as well as completed records. Future records are ones that may be created by training blocks or planning tools such as scheduling, appointments or the calendar. The history is always automatically displayed in chronological order from most future record to oldest record.

The history is such an integral part of the web version of AMS that often when you select Save and Close (although not Save and Continue) in an event form, you are directed to the history page. When this happens, you will see the record you just completed at the top of the history. If graphing has been enabled, you would also see selected variables from the history displayed in graph format.

If you’re using the web version of AMS to view a person’s history, the trail bar will display which location or event form in AMS you came from. You can use the trail bar to return your previous location or to a new record for the event form you’ve just saved.

Performance standards are designed to help make sure that all users can review progress without necessarily having to understand the data in depth. The way that this is done is by coloring the background of a variable using a consistent standard. The concept is very similar to the conditional formatting used by Microsoft Excel. Performance standards are developed and edited within the builder interface.

When there is more than one performance standard for an event form, you can choose which standard to view using the Compare To feature located on the history header menu. If you hover over any of the variables in the history, you will see a pop-up box explaining the performance standard that is being displayed.

Using the performance history

In this example, you can see Jamie Anderson’s history of anthropometry test results. We have selected the All History filter and opted to Include All. The history displays a chronological record of the anthropometry records in tabular format. Note that because we used the history tool to select an athlete, then the event form and then the event form’s history, the trail bar reads Home > Select Soldier > Jamie Anderson’s Performance History.

Exactly which fields from an event form appear in the history (and as default selections in the reports tool) is set by the builder in the field properties; if there are too many fields, too few fields or unhelpful fields appearing in the history, communicate this to your builder. 

Filtering the performance history

The history you to view all recent records or filter by event form (using the sidebar to access the history acts the same way). When you select a particular event form, you have additional filtering options available to you for which and how many records you would like to view. The options available here are:

• All history: this includes all previous records for an event form.
• All (history and future): all previous and future records for an event form.
• Date range: records entered between two dates that you specify.
• Last: the most recently entered records for an event form for a period of time that you specify.
• All upcoming: all future records for an event form.
• Last custom: same as Last but you have the ability to choose different week types (for example, Wednesday to Wednesday) or month types (for example, months starting on the 10th).
• Today: records that have been entered in an event form on the current day.

Each of these options also gives you the ability to limit the amount of records you see to a number between one and nine.

Using the quick editing feature from the performance history

If quick editing has been enabled on a form you can see in the history, you'll see a pencil icon for each row. You can select the pencil icon to access a pop-up screen and quickly update important fields from that record.

In this example, the quick edit feature has been enabled on an appointment form. This would help the clinic staff when they need to efficiently update appointments using an athlete’s history. The staff member can use the pencil icon to access the key details of each record and update the necessary information without needing to go to the full record.

Once the fields in the pop-up screen are filled out, they can be saved. The information shown in the history will be updated to reflect any changes which have been caused by the quick edit, such as whether the appointment was cancelled and why. The staff member can then move on to the next relevant record for that athlete.  Note that quick edits are only able to be saved and closed. If the Save and Lock or Save and Enter Another functions are enabled for a form, you'll need to open the record to perform these functions.

To use the quick edits feature in the history, follow the steps below.

1. Sign in to AMS through a web browser.
2. Open the history tool.
3. Select which event form you want to view the history for.
4. Choose the time period that you want to see records for.
5. Select the pencil icon for the record you want to make a quick edit to.
6. In the pop-up screen, fill out the available fields.
7. Save the record, which will return you to the history.

Export records

Depending on your role and site permissions, you may be able to export history data as a CSV (Excel) or PDF file and download multiple files associated with the records. This can be useful when sharing data with people who don’t have access to AMS, if you need to manipulate the data in Excel or to create a back-up of the data when updating fields in a form.

When exporting the history as a CSV, you can choose whether to include all fields or only export the columns shown in the history by default. You will also see an option to email a copy of the CSV to another user in the current group. The file will be downloaded to your device.

Fields which are hidden in the form or in reports will not be shown in the report on AMS. To include any hidden fields in the exported report, you must choose to include all fields when exporting the data.

When exporting as a PDF, you can export the data as it appears in your report by selecting the PDF option. Alternatively, you can export a PDF of each individual record in the report in one file by selecting the PDF (Form) option. Select the number of columns to display the data (usually a maximum of 2) and create the report. Reports saved as PDF files will be downloaded to your device.

The File download option allows you to download files associated with the records shown in a report. This includes files stored in file upload fields (single file uploads and multiple file uploads) and form attachments. The files are exported as a .zip folder, allowing you to review them externally and share with others.

To download multiple files, follow the steps below.

1. Sign in to AMS through a web browser.
2. Open the history tool.
3. Select which event form you want to view the history for.
4. Select the Download Files option from the Export menu.
5. Select the files to download and click Download. Note: you will only be able to download files from a single or multiple file upload field if they are visible in the history table.
